These Terms of Service (“Terms”) govern the relationship between Sentry AI Thermal LLC (“Company,” “we,” “us”) and any individual or entity (“Client,” “you”) engaging our thermal drone inspection and AI analytics services. By requesting a quote, scheduling an inspection, or making a payment, you agree to these Terms.

1. Scope of Services

Sentry AI Thermal provides aerial thermal imaging inspections using FAA-authorized unmanned aircraft systems (UAS) equipped with radiometric thermal sensors. Our services include:

  • Thermal drone flights over designated property or infrastructure
  • AI-assisted defect detection and anomaly identification
  • Severity scoring and maintenance timeline recommendations
  • Written inspection reports with annotated thermal imagery

Important: Our inspections are visual and thermal assessments only. They are not engineering evaluations, structural certifications, or warranty guarantees. Reports reflect conditions observed at the time of inspection and should not be used as the sole basis for structural or safety decisions. We recommend consulting a licensed professional engineer for any structural concerns identified in our reports.

2. Scheduling & Site Access

Inspection dates are scheduled by mutual agreement. You are responsible for:

  • Providing safe, legal access to the property on the scheduled date
  • Notifying tenants, property managers, or security personnel of our arrival
  • Ensuring the inspection area is reasonably clear of obstructions

We are responsible for all FAA compliance, airspace authorization, and flight safety. We carry FAA Part 107 certification and comply with all applicable federal, state, and local regulations.

3. Payment Terms

  • Deposit: A deposit of 50% of the quoted price is required for jobs exceeding $1,000. Deposits are due prior to the scheduled inspection date.
  • Balance: The remaining balance is due within 15 days of report delivery (Net 15).
  • Jobs under $1,000: Full payment is due within 15 days of report delivery.
  • Payment methods: We accept credit/debit cards, ACH transfers, Apple Pay, and Google Pay via Stripe.
  • Late payments: Invoices unpaid after 30 days may be subject to a 1.5% monthly finance charge.

4. Cancellation & Rescheduling

  • 24+ hours notice: Cancellations or reschedules made at least 24 hours before the scheduled inspection incur no fee.
  • Under 24 hours: Cancellations made less than 24 hours before the scheduled inspection are subject to a fee of 25% of the quoted price.
  • No-shows: If the Client fails to provide site access on the scheduled date without prior notice, the full deposit is forfeited.

5. Weather & Rescheduling

Thermal inspections require specific weather conditions for accurate results. We may reschedule if conditions include rain, heavy cloud cover, high winds (>20 mph), or temperatures that prevent meaningful thermal contrast. Weather-related rescheduling is not a breach of contract and incurs no additional cost to the Client. We will make reasonable efforts to reschedule within 7 business days.

6. Deliverables & Intellectual Property

  • Client ownership: You own the inspection data and report content specific to your property.
  • Company rights: We retain copyright on report templates, formatting, and AI analysis methodology.
  • AI training: We may use anonymized, non-identifiable thermal imagery to improve our AI detection models. No property addresses or client information are included in training data.
  • Marketing use: We will not use images or data from your inspection for marketing, portfolio, or public display without your explicit written consent (see our optional Image Release in the Service Agreement).

Reports are delivered electronically via our client portal. Standard delivery is within 5 business days of the inspection.

7. Limitation of Liability

To the maximum extent permitted by law:

  • Our total liability for any claim arising from our services shall not exceed the total amount paid by the Client for the specific inspection giving rise to the claim.
  • We shall not be liable for indirect, incidental, consequential, or punitive damages, including but not limited to loss of revenue, property damage discovered after inspection, or costs arising from reliance on inspection results.
  • Our inspections identify conditions visible to thermal imaging at the time of inspection. We do not guarantee detection of all defects, particularly those not detectable by thermal imaging technology.

8. Indemnification

The Client agrees to indemnify and hold harmless Sentry AI Thermal LLC, its owner, and agents from any claims, damages, or expenses arising from:

  • Pre-existing conditions on the Client’s property discovered during inspection
  • The Client’s failure to act on recommendations in the inspection report
  • Unauthorized modification or redistribution of inspection reports
  • Inaccurate or incomplete information provided by the Client regarding the property

9. Warranty Disclaimer

Services are provided “as-is” based on conditions at the time of inspection. We make no warranties, express or implied, regarding the completeness or accuracy of our findings beyond what is observable through thermal imaging technology at the time of the inspection. Conditions may change after the inspection date, and our report does not serve as a warranty or guarantee regarding the future condition of the inspected property.

10. Data Handling

We handle your data in accordance with our Privacy Policy. Thermal imagery and reports are stored securely and retained for a minimum of three years. Client data is not shared with third parties without consent, except as required by law.

11. Dispute Resolution

These Terms are governed by the laws of the State of West Virginia. Any dispute arising from these Terms or our services shall first be submitted to good-faith mediation. If mediation is unsuccessful, disputes shall be resolved in the courts of Jefferson County, West Virginia. The prevailing party in any legal proceeding shall be entitled to recover reasonable attorney’s fees.

12. Modifications

We reserve the right to update these Terms at any time. Material changes will be noted on this page with a revised “last updated” date. Continued use of our services after changes constitutes acceptance of the revised Terms.
