PRIVACY POLICY

1. Who We Are

Sentry AI Thermal LLC (“we,” “us,” or “our”) is a single-member LLC organized under the laws of West Virginia, located in Harpers Ferry, WV 25425. We provide thermal drone inspection and AI analytics services. This policy explains what information we collect, how we use it, and your rights regarding that information.

2. Information We Collect

We collect information you provide directly to us when you:

• Submit a quote request or contact form (name, email, phone, company, property address)
• Make a payment (processed by Stripe — we do not store card data)
• Access your inspection report via the client portal (report access codes)
• Communicate with us by phone or email

We also collect standard web analytics data through Google Analytics (pages visited, browser type, approximate location). This data is aggregated and not tied to individual identities.

3. Commercial and Residential Intelligence Services

In addition to inspection services, Sentry AI Thermal LLC operates two B2B intelligence channels: a commercial-property channel serving commercial contractors (roofers, solar installers, HVAC, and related trades), and a residential seller-prospect channel serving licensed real estate agents (absentee-owner, high-equity, pre-foreclosure, and probate lists). Both channels aggregate property intelligence exclusively from public records and licensed commercial APIs within our MD/VA/WV/PA service area.

Public data sources. All records in our intelligence database are sourced from public records, publicly accessible government datasets, or licensed commercial APIs, including:

• Maryland State Department of Assessments and Taxation (SDAT)
• Virginia county parcel and real estate records (including Loudoun County open data)
• West Virginia Property Viewer and county assessor records
• Pennsylvania county assessor and recorder of deeds records
• County building permit portals (Frederick-MD, Washington-MD, Loudoun-VA, Berkeley-WV, Jefferson-WV, and equivalent county systems)
• Register of Wills and probate court filings (MD Register of Wills, VA Circuit Court, WV county clerk, PA Register of Wills) — for residential probate intelligence
• Sheriff sale and trustee sale public notices — for pre-foreclosure intelligence
• County recorder of deeds — for transfer, mortgage, and tax lien public records
• U.S. EPA Enforcement and Compliance History Online (ECHO)
• SAM.gov federal contract and entity data
• NOAA Storm Events Database
• State Secretary of State business entity filings (MD, VA, WV, PA)
• Publicly available USDA NAIP aerial imagery
• Licensed commercial APIs for business contact enrichment (e.g. Google Places, and B2B contact providers used solely for identifying business locations and business-email contacts)

What we do not do.

• We do not aggregate or sell data obtained from breached, leaked, or scraped-in-violation-of-ToS sources
• We do not resell MLS content
• We do not operate as a Consumer Reporting Agency under the Fair Credit Reporting Act
• Our lists and products are not consumer reports and are not authorized for use in tenant screening, credit decisions, employment screening, or insurance underwriting
• We do not currently sell intelligence products to buyers operating in California, Vermont, Oregon, or Texas; if the business expands into those jurisdictions in a manner that triggers state data broker registration requirements, we will register per applicable state law before commencing sales

Buyer obligations. Every buyer of a commercial or residential intelligence product must agree to license terms that prohibit: (i) use for any purpose that violates the Telephone Consumer Protection Act (TCPA), including auto-dialed or prerecorded calls to residential lines without prior express consent; (ii) resale, sublicensing, redistribution, or public disclosure of the data; (iii) use for any Fair Credit Reporting Act-triggering decision; (iv) failure to honor opt-out requests forwarded from us within 10 business days.

DNC scrubbing. For residential lists that include phone numbers, Sentry AI Thermal LLC scrubs against the federal Do Not Call registry and applicable state DNC registries (MD, VA, WV, PA) before delivery. Buyers are solely responsible for DNC compliance at the point of contact and for following state real estate board solicitation rules.

Opt-out mechanism. Property owners who appear in our commercial intelligence database may request removal at any time. To opt out, email [email protected] with the subject line “Sentry Intel Opt-Out” and include the property address. We will remove the record from our database and notify active buyers within 10 business days.

State data broker registration. Sentry AI Thermal LLC operates exclusively within Maryland, Virginia, West Virginia, and Pennsylvania — none of which currently require data broker registration as of the effective date of this policy. We do not sell intelligence products to buyers operating in states that require data broker registration (currently including California, Vermont, Oregon, and Texas). If we expand operations into any such jurisdiction, we will complete applicable registration before offering services there.

Retention. Intelligence records are refreshed on a monthly-to-quarterly cadence depending on source. Records sourced from datasets that have become stale (older than 180 days since last verified source refresh) are archived and are not included in any resold product.

Audit trail. Sentry AI Thermal LLC maintains internal records documenting the source, access method, and collection date of every intelligence record; the transformation chain applied to it; and the resolution of every opt-out request. These records are retained for a minimum of seven years and are available for regulatory inquiry upon verified request.

4. How We Use Your Information

• To respond to your inquiry and provide the services you requested
• To schedule and conduct inspections at your property
• To deliver inspection reports and invoices
• To process payments via Stripe
• To improve our website and services

We do not sell, rent, or share your personal information with third parties for marketing purposes.

5. Payment Processing

All payments are processed by Stripe. We do not store credit card numbers or banking information on our servers. Stripe’s privacy policy governs the handling of your payment data. Stripe is PCI-DSS compliant.

6. Inspection Data

Thermal imagery, AI analysis results, and inspection reports generated for your property are your data. We retain copies for our records and quality assurance purposes. We will not share your inspection data with third parties without your written consent, except as required by law.

7. Cookies and Analytics

This website uses Google Analytics to understand how visitors use our site. Google Analytics uses cookies. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

8. Data Retention

We retain your contact and project information for as long as necessary to provide services and comply with legal obligations. Inspection reports and supporting data are retained for a minimum of three years.

9. Your Rights
